Vahni Limited is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains how we collect, use, store, and share your
personal data, and your rights under the UK General Data Protection Regulation (UK GDPR) and the GDPR.

This document forms part of a legally binding agreement accepted digitally at the point of purchase, registration, or sign-up.

1. Who we are

We provide yoga classes, memberships, events, workshops, retreats, and community offerings.

For data protection purposes, Vahni Limited is a data controller.

Vahni Limited acts as an independent data controller in respect of the personal data it processes.

2. Historic and shared data

Certain customer data originated with Shala Ltd, which ceases trading on 31 January 2026.

Historic data ownership

Historic customer data originating from Shala Ltd remains the legal property and responsibility of The Shala School of Yoga.

Ownership does not transfer to Vahni Limited. Following dissolution, The Shala School of Yoga acts as successor data controller but does not acquire ownership of the historic dataset.

Successor data controller after dissolution

Following the dissolution of Shala Ltd, The Shala School of Yoga will act as the successor data controller for the historic dataset it holds or accesses for its own
purposes, while Vahni Limited processes the same historic data independently, under licence, for its own defined operational purposes.
 
Licensed operational use by Vahni

Vahni Limited is licensed to use the full historic Shala Ltd customer dataset solely for operational continuity, customer transition, and service delivery, in accordance with the Data Sharing & Customer Transition Agreement.
 
This includes managing active credits, bookings, memberships, and communications relating to classes, events, and community offerings.
 
Shala School’s limited dataset

The Shala School of Yoga holds a limited copy of historic Shala Ltd data (names and email addresses only), merged with its own contacts, and acts as a separate data controller for its own lawful business communications.
 
The School also retains reference-only access to the full historic dataset for record keeping.

Vahni Limited and The Shala School of Yoga manage communications and preferences independently.

2A. Change of data controller from 1 February 2026

From 1 February 2026, Vahni Limited becomes the data controller for all active Shala Ltd customer accounts, including:

  • active passes
  • class packs
  • single classes (including aerial)
  • introductory passes
  • unused credits
  • associated bookings and attendance records

This reflects Vahni’s responsibility for service continuity and fulfilment of outstanding entitlements.

Marketing and subscribed contacts

Vahni Limited also becomes the data controller for marketing and communication purposes in relation to individuals who were subscribed to receive communications from the former Shala Ltd, where a lawful basis exists.

Where the original Shala Ltd subscription was based on consent, Vahni Limited will continue to rely on that consent unless and until it is withdrawn

3. What personal data we collect

We may collect and process:

  • Name, email address, and phone number (if provided)
  • Booking, attendance, and membership details
  • Communication preferences
  • Payment and transaction information (processed securely via third-party
    payment providers)
  • Any information you voluntarily provide
 
We do not intentionally collect special category data unless necessary and provided voluntarily.

4. How we use your data

We use personal data to:

  • manage class bookings, events, retreats, and memberships
  • provide access to workshops and programmes
  • send operational communications (confirmations, schedule changes, cancellations)
  • send marketing communications about Vahni offerings
  • improve services and customer experience
  • meet legal, tax, accounting, and regulatory obligations
 

5. Lawful bases for processing

We rely on one or more of the following lawful bases:

  • Contract – to provide services you have booked
  • Legitimate interests – to manage operations and communicate relevant updates
  • Consent – where required for marketing
  • Legal obligation – to comply with the law
 
Where historic Shala Ltd data is used, processing is based on legitimate interests in service continuity and fulfilment of existing entitlements.
For marketing to subscribed contacts, the lawful basis is legitimate interests and/or consent, depending on the original subscription mechanism.
 
Where consent was originally given to Shala Ltd, Vahni Limited will continue relying on it unless withdrawn.

6. Marketing and unsubscribing

Vahni Limited may send communications to:

  • current or former customers
  • individuals subscribed via the former Shala Ltd mailing list
 
where a lawful basis exists.
 
Communications relate solely to Vahni offerings (classes, memberships, events, retreats, and community programmes).
 
You can unsubscribe from Vahni communications at any time, without affecting communications from The Shala School of Yoga.
 
Update preferences via vahni@theshala.co.uk or the unsubscribe link in any Vahni email.

7. Sharing your data

We may share your data with:

  • The Shala School of Yoga, in relation to historic Shala Ltd data and operational transition purposes
  • Booking and scheduling platforms
  • Email marketing providers
  • Payment processors
  • Website hosting providers
 
We do not sell personal data.
 
All third parties are required to use personal data only for specified purposes.

7A. Booking system – Momence

We use Momence as the booking and membership system.

Momence acts as a data processor, handling:

  • name and contact details
  • bookings and attendance
  • memberships
  • payment-related information (processed securely via third-party payment providers)
  • communication preferences
 
Momence may store data outside the UK or EEA and uses safeguards such as Standard Contractual Clauses.

8. Data security

We implement technical and organisational measures to protect personal data from unauthorised access, loss, misuse, or disclosure.

If a data breach poses risks to your rights and freedoms, we will notify you and relevant authorities where required.

9. Data ownership

Historic Shala Ltd customer data remains the legal property of the Licensor and, following dissolution, is processed by The Shala School of Yoga as a successor data controller for its own purposes.

Vahni Limited is licensed to use this data only for operational continuity and customer transition.

All new data collected by Vahni from 1 February 2026 onwards is owned and controlled exclusively by Vahni Limited.

10. Right to Erasure (Deletion of Personal Data)

You have the right to request deletion of your personal data where it is no longer needed for the purposes for which it was collected, or where we no longer have a lawful basis to retain it.

If you request deletion, we will remove or anonymise your personal contact details and any account information that is no longer required. Where you have previously purchased classes, memberships, or other services, we may need to retain certain records relating to bookings, payments, and transactions in order to meet our legal, accounting, and regulatory obligations (including HMRC requirements). Any such retained data is kept securely, with restricted access, and is not used for marketing or further communications.

We will respond to all valid deletion requests within one month, in line with UK GDPR.


11. Data retention

We retain personal data only as long as necessary to:

  • provide services
  • meet legal, tax, and accounting requirements
  • maintain accurate business records
 
You may request deletion, subject to legal obligations.

You have the right to:

  • access your personal data
  • rectify inaccurate data
  • request erasure
  • restrict processing
  • object to processing
  • data portability
  • withdraw consent at any time
