§ 02 · Privacy

how we collect, use, store, and share your personal data, and the rights you have under uk gdpr. tap any section to read in full.

01who we are

vahni limited (company no. 16949540) provides yoga classes, memberships, events, workshops, retreats, and community offerings. our website is vahnilondon.com and you can reach us at vahni@theshala.co.uk.

for data protection purposes, vahni limited is an independent data controller in respect of the personal data it processes. this privacy policy explains how we collect, use, store, and share your personal data, and your rights under the UK GDPR and the GDPR. it forms part of a legally binding agreement accepted digitally at the point of purchase, registration, or sign-up.

02historic and shared data

certain customer data originated with Shala Ltd, which ceases trading on 31 january 2026. that historic customer data remains the legal property and responsibility of The Shala School of Yoga; ownership does not transfer to vahni limited.

following the dissolution of Shala Ltd, The Shala School of Yoga acts as the successor data controller for the historic dataset it holds or accesses for its own purposes, while vahni limited processes the same historic data independently, under licence, for its own defined operational purposes.

vahni limited is licensed to use the full historic Shala Ltd customer dataset solely for operational continuity, customer transition, and service delivery, in accordance with the data sharing & customer transition agreement. this includes managing active credits, bookings, memberships, and communications relating to classes, events, and community offerings.

The Shala School of Yoga holds a limited copy of historic Shala Ltd data (names and email addresses only), merged with its own contacts, and acts as a separate data controller for its own lawful business communications. it also retains reference-only access to the full historic dataset for record-keeping. the two organisations manage communications and preferences independently.

from 1 february 2026, vahni limited becomes the data controller for all active Shala Ltd customer accounts, including:

  • active passes
  • class packs
  • single classes (including aerial)
  • introductory passes
  • unused credits
  • associated bookings and attendance records

vahni limited also becomes the data controller for marketing and communication purposes in relation to individuals who were subscribed to receive communications from the former Shala Ltd, where a lawful basis exists. where the original subscription was based on consent, vahni limited will continue to rely on that consent unless and until it is withdrawn.

03what personal data we collect

we may collect and process:

  • name, email address, and phone number (if provided)
  • booking, attendance, and membership details
  • communication preferences
  • payment and transaction information (processed securely via third-party payment providers)
  • any information you voluntarily provide

we do not intentionally collect special category data unless necessary and provided voluntarily.

04how we use your data

we use personal data to:

  • manage class bookings, events, retreats, and memberships
  • provide access to workshops and programmes
  • send operational communications (confirmations, schedule changes, cancellations)
  • send marketing communications about vahni offerings
  • improve services and customer experience
  • meet legal, tax, accounting, and regulatory obligations
05lawful bases for processing

we rely on one or more of the following lawful bases:

  • contract: to provide services you have booked
  • legitimate interests: to manage operations and communicate relevant updates
  • consent: where required for marketing
  • legal obligation: to comply with the law

where historic Shala Ltd data is used, processing is based on legitimate interests in service continuity and fulfilment of existing entitlements. for marketing to subscribed contacts, the lawful basis is legitimate interests and/or consent, depending on the original subscription mechanism. where consent was originally given to Shala Ltd, vahni limited will continue relying on it unless withdrawn.

06marketing and unsubscribing

vahni limited may send communications to current or former customers, and to individuals subscribed via the former Shala Ltd mailing list, where a lawful basis exists. communications relate solely to vahni offerings (classes, memberships, events, retreats, and community programmes).

you can unsubscribe from vahni communications at any time, without affecting communications from The Shala School of Yoga. update your preferences via vahni@theshala.co.uk or the unsubscribe link in any vahni email.

07sharing your data

we may share your data with:

  • The Shala School of Yoga, in relation to historic Shala Ltd data and operational transition purposes
  • booking and scheduling platforms
  • email marketing providers
  • payment processors
  • website hosting providers

we do not sell personal data. all third parties are required to use personal data only for specified purposes.

08booking system: momence

we use Momence as the booking and membership system. Momence acts as a data processor, handling:

  • name and contact details
  • bookings and attendance
  • memberships
  • payment-related information (processed securely via third-party payment providers)
  • communication preferences

Momence may store data outside the UK or EEA and uses safeguards such as standard contractual clauses. see the Momence privacy policy at momence.com/webflow/documents/privacy-policy.pdf.

09data security

we implement technical and organisational measures to protect personal data from unauthorised access, loss, misuse, or disclosure. if a data breach poses risks to your rights and freedoms, we will notify you and relevant authorities where required.

10data ownership

historic Shala Ltd customer data remains the legal property of the licensor and, following dissolution, is processed by The Shala School of Yoga as a successor data controller for its own purposes. vahni limited is licensed to use this data only for operational continuity and customer transition. all new data collected by vahni from 1 february 2026 onwards is owned and controlled exclusively by vahni limited.

11right to erasure

you have the right to request deletion of your personal data where it is no longer needed for the purposes for which it was collected, or where we no longer have a lawful basis to retain it.

if you request deletion, we will remove or anonymise your personal contact details and any account information that is no longer required. where you have previously purchased classes, memberships, or other services, we may need to retain certain records relating to bookings, payments, and transactions to meet our legal, accounting, and regulatory obligations (including HMRC requirements). any such retained data is kept securely, with restricted access, and is not used for marketing or further communications.

we will respond to all valid deletion requests within one month, in line with the UK GDPR.

12data retention

we retain personal data only as long as necessary to:

  • provide services
  • meet legal, tax, and accounting requirements
  • maintain accurate business records

you may request deletion, subject to legal obligations.

13your rights

you have the right to access your personal data, rectify inaccurate data, request erasure, restrict processing, object to processing, data portability, and withdraw consent at any time.

14cookies and website data

our website uses only essential cookies needed for it to function and stay secure. we do not use advertising or tracking cookies, and we do not run third-party analytics on the site, so we don't ask you to accept a cookie consent banner.

our booking and payment provider, Momence, sets its own cookies when you book or pay through their platform. that processing is covered by the Momence privacy policy (see section 08).

you can control or delete cookies at any time in your browser settings. if we add analytics or other non-essential cookies in future, we will ask for your consent first and update this policy.

15changes to this policy

we may update this privacy policy from time to time. the most current version will always appear on our website.

01who we are & how to contact us

vahni limited (company no. 16949540) provides yoga and wellbeing classes, workshops, events, and community offerings, in person and online. our website is vahnilondon.com and you can contact us at vahni@theshala.co.uk.

by creating an account, booking classes or workshops, purchasing memberships, visiting the studio, or using our website or booking platform, you agree to these terms. nothing in these terms affects your statutory rights.

02scope of these terms

these terms apply to studio and livestream classes, workshops and events, memberships, class packs and credits, and use of our website and booking platform. teacher trainings delivered by The Shala School of Yoga are governed by separate policies.

03accounts, booking platform & policies

we use Momence to manage accounts, bookings, memberships, and payments. Momence acts as a data processor. you must accept our privacy policy and liability waiver during checkout and keep your account information accurate.

04pricing & payment

prices are displayed on booking pages and may change at any time. payments are processed securely by third-party providers. vahni does not store full card details.

05memberships

memberships auto-renew each billing cycle until cancelled. cancellation must occur before the next billing date. no partial refunds are issued, and access continues until the end of the billing period. two freezes per year are included at no charge; additional freezes are subject to a £10 administration fee.

06class packs & credits

class packs and credits are non-refundable. expiry dates are firm. a one-time extension may be purchased where available. credits are non-transferable.

07class cancellations

the cancellation window is 6 hours. cancellations must be made online. late cancellations or no-shows result in loss of credit. if a class is full you may join a waitlist; if a space becomes available you may be automatically booked, and standard cancellation policies apply.

08workshops & events: 72-hour cancellation

workshops and events require a minimum of 72 hours' notice for cancellation. within 72 hours they are non-refundable. some events may have longer notice periods as stated at booking.

09studio conduct & expectations

vahni maintains a safe and respectful environment. any behaviour that is unsafe or inappropriate may result in refusal of entry or removal without refund. we may photograph or film classes for promotional purposes; please inform us if you prefer not to be included.

10health & safety

participation is voluntary and undertaken at your own risk. you are responsible for ensuring you are medically and physically fit to participate. teachers are not medical professionals.

11liability waiver

to the fullest extent permitted by law, vahni limited, its instructors and affiliates shall not be liable for any loss, injury or damage arising from participation, except where liability cannot legally be excluded. participation is undertaken at your own risk.

12intellectual property

all content on this website, including text, images, branding and media, is the property of vahni limited or its licensors and is protected by intellectual property laws. content may not be reproduced or used commercially without permission.

13legal framework

if any provision of these terms is found unenforceable, the remaining provisions remain in full force. these terms form the entire agreement between you and vahni limited.

14complaints

we welcome feedback. please contact vahni@theshala.co.uk and we aim to respond within a reasonable timeframe.

15changes to these terms

we may update these terms from time to time. continued use of services constitutes acceptance of the updated terms. please refer to our privacy policy for full details on how we collect and use personal data.

16governing law

these terms and conditions are governed by and construed in accordance with the laws of England and Wales. any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
